SMH Parents’ Circle Volunteer Descriptions


Executive Leadership Opportunities

President Serve as a liaison among the Parents’ Circle, faculty and administration, and the Board of Directors. Ensure appointment of leadership of committees, preside at meetings, and lead Parents’ Circle budget development. This representative must have at least two prior years of experience as Parents’ Circle Executive Leadership or Chair to apply for this position.

President-Elect Assist the President in the above duties in preparation to assume the President role the following year. At the discretion of the President, attend and preside (if necessary) at the meetings, and report to the President. This representative must have at least two prior years of experience as Parents’ Circle Executive leadership or Chair to apply for this position.

Division Chair (Lower, Middle & Upper Schools) Oversee the Division’s volunteers, support the Division Head’s needs, and serve as a point of contact for parents and form representative.

Athletic Liaison Support our Athletic department, including the Athletic Director, coaches and teams. Work to foster enthusiasm and recognition for all sports program across divisions.

Fine Arts Liaison Support the Fine Arts department, including the Director of Fine Arts, instructors and teachers in Dance, Theater, Speech & Debate and other FA disciplines. Work to foster enthusiasm and recognition for all Fine Arts programs across divisions. Communications Chair Work with the SMH Director of Communications and the President of Parents' Circle on group communications, proofreading, documenting processes, and writing for our page on the SMH website. Maintain the master Sign-Up Genius volunteer portal, and coordinate with the volunteer chairs.

Secretary Take and distribute the Executive Leadership and General Parents’ Circle meeting minutes.

Treasurer Develop the organization’s annual budget. The Treasurer will act as the liaison with the parent volunteers regarding authorization for expenditures and reimbursements of Parents’ Circle funds per school policies and procedures.

Advisory Council Serve as a collaborative forum to advise the Parents’ Circle Executive Leadership on policies and budgets, and to focus on parent and community involvement in the school. Council consists of prior Leadership members.


All-School Leadership Opportunities


Faculty & Staff Appreciation Show Faculty & Staff appreciation throughout the year by coordinating the Board-sponsored back-to-school breakfast, drinks and sweet treats for Faculty & Staff on conference days in November & February, and parent and board
efforts during Appreciation Week in May.

Faculty & Staff Holiday Fund Show gratitude to Faculty & Staff by chairing the Holiday Fund in December, which is a collection of monetary gifts by the community distributed to the faculty.

Faculty & Staff Thanksgiving Pies & Valentine’s Sweet Treats Show Faculty & Staff appreciation by coordinating the collection and display a variety of pies in the month of November. Additionally coordinate the collection and display of sweet treats from families in the month of February.

Fiesta In conjunction with the SMH Director of Events, chair our all-school fall carnival held in October. The chair will recruit committee members and ensure all components of this annual event (volunteers, concessions, games, activities) are planned and executed.

New Family Mentor In conjunction with the SMH Admissions Office, lead the program and volunteers in welcoming our new families to the Saint Mary’s Hall community.

Passport 2024 In conjunction with the SMH Director of Events, chair our school’s signature gala event. The chair will recruit committee members and ensure all components of the event are planned and executed for this fun-filled evening held in the Spring, every other year.

The SMH Fund In conjunction with the SMH Director of Annual Giving, chair our annual program, The SMH Fund. In this role, you will partner with the Advancement Office, coordinate the form level fund leaders as they communicate with other parents about the importance of The SMH Fund, assist with the solicitation process and work to maximize participation.

Uniform Upcycle Organize volunteers to help collect, sort, and sell gently loved uniforms for our community twice a year during our two Upcycle events in August and January.


Lower School Leadership Opportunities


Back to School Ribbon Tying Welcome students, faculty, and staff back on campus in August by tying ribbons throughout campus on trees and buildings.

Book Fair Liaison Support the LS library and annual Spring Book Fair in an effort to promote a lifelong appreciation for books. Coordinate volunteer efforts during setup, breakdown and sale days.

Dance Ambassador In conjunction with the LS dance faculty, organize and manage the Form 5 Dance volunteers to distribute key information to parents, provide snacks for rehearsals and performances, manage the performers during shows, and help with costume maintenance.

Faculty and Staff "Grab & Go” Breakfast Show LS Faculty & Staff appreciation by coordinating the collection and display of a variety of “grab and go” breakfast items. Breakfasts will be held September, October, January and April.

Middle School Leadership Opportunities


Back to School Ribbon Tying Welcome students, faculty, and staff back on campus in August by tying ribbons throughout campus on trees and buildings.

Faculty & Staff Snacks Show Faculty & Staff appreciation by stocking the MS Faculty Lounge four times during the year. Coordinate volunteers to collect and display a variety of snacks and treats during September, October, January and April.

“Go To” Games Liaison Build school spirit and community around athletic events. Coordinate all-school volunteer efforts to promote attendance, decorate areas of play, provide game day swag and coordinate food trucks as needed at games. Supported games are held once a sports’ season and dates TBD.

Student Socials Liaise with faculty and student councils in support of their vision and planning of student social events throughout the year.


Upper School Leadership Opportunities

Homecoming Liaise with US faculty and student councils in support of their vision and planning of Saint Mary’s Hall Homecoming in the Fall.

Photographer Donate your time and talents to highlight and document Parents’ Circle events in your division. Photos may be used for a wide variety of purposes including newsletters and social media. Any camera (or phone) will do!

SMH Griller Serve as grill captain and coordinate a team of volunteers to grill at one or more Parents’ Circle events, such as the Star Party or Faculty/Staff Appreciation. Exact dates TBD.

Star Party Liaison Coordinate all-school volunteer efforts to support the US Science Department for the annual Star Party event held in November, including activities, food and beverages, and swag for the event.


Form Level Opportunities


New Family Mentor Welcome our new SMH families and support them throughout the year. Reach out to an assigned family, get together over the summer, and answer any questions they may have about starting at SMH.

Parent Representative (F6-F12) Partner with Faculty Sponsors and/or Division Heads to communicate and coordinate form level events throughout the year. Assist in coordinating parent volunteers for form events and activities, encourage social connection off-campus, and promote the work of the Parents’ Circle within the school and community.

Room Parent (MK, F1-F5) Work effectively with your classroom teacher to execute special projects. Coordinate parent volunteers for classroom events and activities, help build friendly relations among parents in the classroom and off-campus, and promote the work of the Parents’ Circle within the school and community.

The SMH Fund The SMH Fund, our annual giving program, remains the School’s philanthropic priority and the cornerstone of our fundraising programs. Form level leaders connect with parents in their form, communicate the importance of The SMH Fund, assist with the solicitation process and work to maximize participation.
